I. Ship's technical information covered by the EEs
The management of ship technical data is an important basic work of ship management. Effective management of technical data can play a strong supportive role to ship safety management, and has a direct and close connection to ship repair, emergency response to accidents, and daily spare parts ordering. The activities or applications, exchanges, etc. in the work of electronic electrician need to use all kinds of correspondence, documents and record forms, which are all basically in the form of reports or forms at present.
(i) Periodic reporting category
The main reports sent to the company's safety and technical department or to the supervisor of the machine department are:Electrical Annual Maintenance Plan, Electrical Monthly Maintenance Test Maintenance Plan, Electronic Electrician Sailing Reports. Although there are software outputs such as CWBT or Sea Master SMIS, managers are still required to come up with annual plans based on actual conditions.
(ii) Incident reporting and shift handover category
1. Ship accident reports:Contains basic ship information (name, gross tonnage, power, etc.) and accident handling information (detailed description, cause analysis, preventive and corrective measures).2. Handover reports:Records of material spare parts and engineering type requests.
Focus: Spare parts and work orders (E/N series number)
Repair work order items shall be numbered:EThe beginning represents electrical equipment (e.g., E-01).NThe beginning represents communications and navigation (e.g., N-02). The text should be concise and precise, avoiding vague phrases such as “dismantle, inspect and repair as appropriate”. The work order should indicate the number of pages and the total number of pages, and a copy should be retained by the Engine Department, the company and the responsible person for at least one year.

II. Norms for the custody of ships' technical data
The shipyard delivers four sets of information: two sets on board (one in the captain's cabin and the other in the first officer/engineer's office) and two sets ashore. An exhaustive registry must be implemented, with multiple safety measures against fire, theft and moisture.
After the maintenance and renewal of equipment, drawing managers need to synchronize the updating of shipboard and shore drawings to prevent mismatches due to outdated information in spare parts claims.
It is recommended that equipment be categorized and numbered by type and electronically backed up on a regular basis. Computers need to be equipped with UPS, paper copies are stored in a special information cabinet. Establish a loan list system to prevent loss.
III. Elements for the use of technical data on ships
- Check before operation:Before replacing the inverter module, check the various parameter settings, precautions, etc. in the manual.
- Troubleshooting:Follow the manual flowchart for step-by-step troubleshooting.
- Revision of records:Handwritten changes need to be made by the reviserConfirmation of signature. If the drawings are found to be inconsistent or incorrect with the equipment (especially important spare parts model updates), they need to be revised and dated.
